Whose documents are at risk?
Human Resources Department
e.g. personal emplyee data, contracts, Ts & Cs, training/personal development procedures;
Marketing Department
e.g. strategy documents, customer/prospect's data, supplier details, media plans, reports, pricing date;
Legal Department
e.g. client case notes, customer contracts, supplier contracts, confidential company records;
Facilities Department
e.g. property access codes for authentication and authority clearance, building contracts, security blueprints, building plans;
Customer Administration Department -
e.g. sales orders, tender and response documents, tender requests, customer records, contracts or billings.

Hardware Solutions (click to view)

The presence of a hard drive is not necessarily a security risk, the following features should be considered.

Data Overwrite Security Unit
Erases the latent data stored on the MFDs hard drive by writing over it with random numbers. The random data is overwritten twice to ensure that the original data cannot be recovered.

Ricoh has obtained ISO 15408 certification, EAL3, for the Ricoh Data Overwrite Security unit Type C and Type D.

Hard Disk Encryption
When this option is installed and activated in the MFD, all data will be encrypted immediately when they are stored into the HDD and NVRAM.

Such data includes: Address Book, User Authentication information, Data stored inn the Document Server.

Copy Mask Protection
This feature prevents unauthorised copying of confidential documents by embedding patterns which grey the document in case of unauthorised copying.
